Patient Participation Group Terms of Reference (version 1 August.2024
Title of the Group
The group is called Ladybarn Group Practice PPG.
Aims of the patient participation group
Our goal is to foster strong relationships between the GP practice and our patients by encouraging open, transparent communication and striving for continuous improvement in the quality of our services.
Membership of the group
Membership in the Patient Participation Group (PPG) is open to all patients who are permanently registered at the practice, as well as to carers of registered patients (even if carer is not registered at the practice).
Removal of a patient from the practice list will result in the termination of their membership in the Patient Participation Group (PPG).
PPG members will hold a three-year membership term, after which the practice will rotate memberships to encourage greater variation in feedback and ensure diverse patient perspective.
Activities of the group
The Patient Participation Group (PPG) will gather views from patients who have attended the practice regarding the services provided and obtain feedback from all registered patients about those services.
Ladybarn Group Practice will review any feedback received with the practice staff to identify areas for improvement.
PPG will act as a sounding board, providing feedback on patients' needs, concerns, and interests, and constructively challenging the practice when necessary. Additionally, the PPG will assist in helping patients understand the practice's perspective and final decision on service delivery will remain within the practice.
Practice will maintain a dedicated area in the surgery's waiting room for PPG, ensuring it features up-to-date information on current activities and opportunities.
Meetings
PPG meetings will be held in the library upstairs at Ladybarn Group Practice and will aim to occur at least three times a year. Typically held on the third Thursday of the selected month at 4 p.m., with a target duration of 90 minutes.
A minimum of three members of the practice staff will attend each meeting.
Agendas will be circulated prior to the meeting, and minutes will be shared afterward.
Reporting
Minutes will be distributed directly via email to each PPG member and published on the Ladybarn Group Practice website for public access.
The agenda for each meeting will be prepared in advance, incorporating topics from the previous meeting. PPG members can submit additional agenda items up to one week before the next meeting.
